Face it. With today’s technology, there’s a way to bring people together across the country or across town. Face to face, hearing each other’s voice, and interacting to accomplish whatever goals we may have. Conducting business, exploring medical procedures, or sharing an educational experience, videoconferencing is an economical and green technology to help facilitate those activities. Meeting with someone face to face at the touch of a button or the click of the mouse is expedient, saves travel expense, saves time, and expends less fossil fuel and resources than traditional travel.
When considering videoconferencing, you must determine the quantity of people involved. Will it be one or two participants on each end, a small group of 4 to 6 colleagues, or a medium group of 8 to 10? Will it be a board meeting of 12 or more? This will affect the size of the videoconferencing system you will use for your needs, whether desktop system, a roller cart for a small or medium conference rooms, or a built in system to accommodate a larger number of participants. The size of the system needed also affects the installed cost of the system. Obviously, the more complex, the more cost. But wait, there’s hope. Video conferencing pays for itself through reduced labor and travel expenses….Its just a matter of time. How many people will participate in the video conference? (Give the number of participants on one end of the call only.) Do you desire a fixed system, as in one room in your facility dedicated to videoconferencing, or a portable system that you can use in multiple rooms? A dedicated room does not mean the room cannot be used for other functions, but will be the room designated as the “Videoconference Room”. (It is generally not advisable to use a portable system if you will have more than 8 or 10 participants at one end.) Would you like to be able to share documents, spreadsheets and presentation material across the videoconference? Do you need to have more that one remote site on the call at the same time?
